What You’ll Do
Your tenacity, strong communications and organization skills, combined with a passion for building construction and project delivery will assure your success in this role. You will help build a new reality in the real estate development space by providing professional project coordination and controls to the icona team. You will have the opportunity to contribute to the development portfolio from initiation to closeout. icona projects consist of mixed-use, residential, and commercial developments.
Representing icona, the Project Coordinator is responsible for assisting in all administrative functions related to organizing, and monitoring the major activities of a construction project, including the closeout and warranty phases of the project. The main responsibilities of a project coordinator include working with team members to create a realistic timeline, following up with team members and contractors to ensure everything is running smoothly, and tracking project progress in a variety of ways.
You will be responsible for supporting the project management team in organizing the project tasks and identifying resources and information to make the project successful. A key activity will be to work with the assigned Project Manager to identify potential risks, areas of concerns, and challenges with the project and provide recommendations to improve the administration of a project.
This position will assist and take direction from assigned Project Managers.
The Role
- Managing and building relationships with multiple teams of consultants, contractors and suppliers.
- Assist in the project planning phase to define scope, organize information and track progress.
- Assist with the review and monitoring of project risks, budgets and schedules.
- Ensure adequate communications using meetings and including minutes, issues logging and tracking.
- Ensuring documentation is maintained throughout the length of the project and processes are followed.
- Monitoring planning deliverables and tracking drawings and specifications as they are issued.
- Managing document control and routing during construction - including requests for information, site instructions, submittals and shop drawings, change management and billing documentation.
- Participating with Contractors and Project Team to identify, monitor and resolve logistics issues.
- Ensuring project team is aware of trending and requirements for timelines and deliverables.
- Analyzing project data and producing information for use by the Project Manager in reporting and KPIs.
- Engaging in systems thinking and providing input for process engineering to enhance project delivery and controls.
- Working closely with the Project Manager and icona leadership as an escalation point for resolving critical path issues.
An ideal candidate will have a knowledge of the project management process, construction management, logistics, and technology landscape and have a passion for real estate development.
What We’re Looking For
Experience & Education
- A diploma or associate degree in construction, engineering, architecture is required and a Bachelor’s degree would be an asset; relevant project management experience or other qualifications commensurate with the position may be considered.
- Minimum site and office work experience of five (5) years related construction and/or design experience in mid to hi-rise residential buildings, preferably with a general contractor or engineering firm within the lower mainland of BC. Candidates with lower years of experience, or experience in other industries but relevant work scope may be considered.
- Demonstrated understanding of Project Management including delivery practice, document management, reporting and controls.
- Technical ability to participate in construction projects including - understanding and marking-up drawings, reviewing specifications, preparing, or responding to requests for information (RFIs), and reviewing submittals for changes, payments etc.
- Understanding of the design process and development requirements including knowledge of permitting and regulatory process.
- Demonstrated experience and understanding of the interface between technical disciplines (Architectural, Engineering, Survey etc.) and General Contractors & Subcontractors.
- Demonstrated working knowledge of risk management and the implications for a projects’ bottom line.
- Knowledge of local construction methodology including administrative processes and on-site activities.
- Strong MS Project, MS Word, MS Excel, and MS Outlook, capabilities. Knowledge of other software used for construction and project management (e.g. Bluebeam Revu, Site Docs, Procore, Revizto etc.) would be considered an asset.

Some local travel may be required for this role.

Due to the nature of this role considerable time of active construction job sites may be required.
